Registration Terms and Conditions
Introduction
These Registration Terms and Conditions apply to all bookings made with the Canoe Sports Trust. By making a booking, the participant, or where applicable the parent, guardian, or group organiser, agrees to be bound by these Terms and Conditions.
Booking and Payment
- Bookings are subject to availability and are not confirmed until we have received the required payment and issued a booking confirmation.
- Full payment must be made at the time of booking unless otherwise agreed in writing.
- Group bookings may be subject to separate payment schedules as specified at the time of booking.
Participant Information
- Accurate participant information must be provided at the time of booking, including relevant medical conditions, disabilities, allergies, and emergency contact details.
- Participants must notify us of any changes to their information prior to the activity.
- Failure to disclose relevant medical or personal information may result in participation being refused where safety could be compromised.
Health and Fitness
- Participants must be physically and medically fit to take part in the booked activity.
- Participants are responsible for assessing their own suitability for participation and must seek medical advice where appropriate.
- We reserve the right to refuse participation where we reasonably believe a participant’s health, fitness, behaviour, or equipment may create an unacceptable risk to themselves or others.
Safety Requirements
- Participants must follow all instructions given by our staff, coaches, guides, and volunteers.
- Participants must wear any safety equipment provided or required, including buoyancy aids and helmets where applicable.
- Participants must not be under the influence of alcohol, illegal drugs, or any substance that may impair judgement or physical ability.
- Failure to comply with safety instructions may result in removal from the activity without refund.
Assumption of Risk
- Canoeing, kayaking, stand-up paddleboarding, and other paddle sports involve inherent risks, including but not limited to capsizing, immersion in water, collisions, changing weather conditions, and injuries resulting from participation.
- By participating, participants acknowledge and accept these inherent risks.
- Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.
Young People and Vulnerable Adults
- Participants under the age of 18 must have consent from a parent or legal guardian.
- Parents, guardians, schools, or group leaders are responsible for providing accurate information regarding participants in their care.
- We operate safeguarding procedures and expect all participants and accompanying adults to behave appropriately at all times.
Cancellation by the Customer
- Cancellation requests must be submitted in writing.
- Unless otherwise stated:
- More than 48 hours before the activity: full refund less any administration fee.
- Less than 48 hours before the activity: no refund.
- Bookings may be transferred to another participant at our discretion.
- Failure to attend an activity will be treated as a cancellation and no refund will be provided.
Cancellation by the Organisation
- We reserve the right to cancel, postpone, relocate, or modify activities due to adverse weather, water conditions, safety concerns, insufficient numbers, instructor availability, or other circumstances beyond our reasonable control.
- Where we cancel an activity, participants will be offered an alternative date, credit note, or refund at our discretion.
Equipment
- Equipment provided by us remains our property at all times.
- Participants must take reasonable care of equipment and immediately report any damage or defects.
- Participants may be liable for damage caused by deliberate misuse or negligent behaviour.
- Personal equipment used during activities remains the responsibility of the participant.
Photography and Media
- We may take photographs or video recordings during activities for promotional, training, and operational purposes.
- Participants may opt out of promotional photography by informing us before the activity commences.
- Any images used will be managed in accordance with our privacy policies and safeguarding procedures.
Data Protection
- Personal information will be processed in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
- Personal data will be used for booking administration, safety management, emergency contact purposes, and other legitimate operational requirements.

Behaviour
- Participants are expected to behave respectfully towards staff, volunteers, other participants, members of the public, and the environment.
- We reserve the right to remove any participant whose conduct is unsafe, abusive, disruptive, or inappropriate.
- No refund will be provided where participation is terminated due to misconduct.
Liability
- We shall not be liable for loss of or damage to personal property except where caused by our negligence.
- Our total liability arising from participation shall be limited to the extent permitted by applicable law.
- Nothing in these Terms limits or excludes liability where such limitation or exclusion would be unlawful.
Governing Law
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Acceptance
By completing a booking, the participant, parent, guardian, or authorised group representative confirms that they:
- Have read and understood these Terms and Conditions.
- Consent to participation in the booked activity.
- Confirm that all information provided is accurate and complete.
- Accept the inherent risks associated with paddle sport activities.
